Position Overview
We are seeking a friendly, organized, and detail-oriented Patient Experience Coordinator to be the welcoming face of our clinic. You'll be the first point of contact for patients and play a crucial role in ensuring smooth daily operations.
Key Responsibilities
- Greet patients warmly and create a welcoming, professional front desk experience
- Answer incoming phone calls promptly and direct inquiries appropriately
- Schedule, confirm, and manage patient appointments efficiently
- Check patients in and out, collecting necessary forms and payments
- Verify patient insurance information and collect copays
- Maintain accurate patient records and update demographic information
- Manage appointment reminders via phone, text, and email
- Coordinate with clinical staff to optimize patient flow and scheduling
- Handle new patient registration and intake paperwork
- Process referrals and coordinate with other healthcare providers
- Keep the reception area clean, organized, and stocked with materials
- Assist with general administrative tasks as needed
Qualifications
Required
- High school diploma or equivalent
- Excellent customer service and interpersonal skills
- Strong verbal and written communication abilities
- Basic computer proficiency (email, scheduling software, data entry)
- Professional appearance and demeanor
- Ability to multitask and stay organized in a busy environment
Preferred
- Previous experience in a medical office or healthcare setting
- Familiarity with EMR/EHR systems (Elation, Athena, or similar)
- Knowledge of medical insurance and billing basics
- Spanish or Mandarin bilingual ability
- Experience with multi-line phone systems
