Position Overview

We are seeking a friendly, organized, and detail-oriented Patient Experience Coordinator to be the welcoming face of our clinic. This entry-level position is perfect for someone who enjoys helping people, thrives in a fast-paced environment, and wants to grow their career in healthcare. You'll be the first point of contact for patients and play a crucial role in ensuring smooth daily operations.

Key Responsibilities

  • Greet patients warmly and create a welcoming, professional front desk experience
  • Answer incoming phone calls promptly and direct inquiries appropriately
  • Schedule, confirm, and manage patient appointments efficiently
  • Check patients in and out, collecting necessary forms and payments
  • Verify patient insurance information and collect copays
  • Maintain accurate patient records and update demographic information
  • Manage appointment reminders via phone, text, and email
  • Coordinate with clinical staff to optimize patient flow and scheduling
  • Handle new patient registration and intake paperwork
  • Process referrals and coordinate with other healthcare providers
  • Keep the reception area clean, organized, and stocked with materials
  • Assist with general administrative tasks as needed

Qualifications

Required

  • High school diploma or equivalent
  • Excellent customer service and interpersonal skills
  • Strong verbal and written communication abilities
  • Basic computer proficiency (email, scheduling software, data entry)
  • Professional appearance and demeanor
  • Ability to multitask and stay organized in a busy environment

Preferred

  • Previous experience in a medical office or healthcare setting
  • Familiarity with EMR/EHR systems (Elation, Athena, or similar)
  • Knowledge of medical insurance and billing basics
  • Spanish or Mandarin bilingual ability
  • Experience with multi-line phone systems
